Privacy Policy
Effective Date: April 15, 2025
Invoice Clarity ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services, including our website and any associated applications ("Service").
By using Invoice Clarity, you agree to the collection and use of information in accordance with this policy.
1. Information We Collect
a. Personal Information
We may collect personal information that you voluntarily provide to us when you:
- Sign up for an account
- Contact support
- Subscribe to newsletters or other communications
This may include your name, email address, company name, company email, billing email, and any other settings you provide (such as, but not limited to, your tax year, sales goals, or break-even targets).
b. Connection Credentials
To connect securely to third-party platforms (e.g., Xero), we store your connection credentials in an encrypted format. These are used to authenticate and fetch your invoice and quote data when needed. Credentials are deleted if the Xero connection is removed.
c. Billing and Subscription Information
We use Stripe to manage payments and subscriptions. While we do not store payment details such as card numbers, we store references to your Stripe customer and subscription to manage your account.
d. Processed Financial Data (Non-Stored)
We do not store your invoice, quote, or transactional data. Invoice Clarity processes this data dynamically on each request to generate reports and visualizations. This ensures your financial data remains within your accounting platform.
e. Usage Data
We collect non-identifying information about how you access and use the Service, including:
- Browser type and version
- Pages viewed
- Time spent on pages
- IP address and location (approximate)
2. How We Use Your Information
We use collected data to:
- Provide and maintain the Service
- Securely connect to third-party platforms
- Generate invoice insights and projections (on-demand)
- Improve user experience and support
- Communicate with you about updates, features, and support
- Ensure security and compliance
3. How We Share Your Information
We do not sell or rent your personal or financial data. We may share your information only in the following cases:
- Service Providers: We may engage third-party providers (e.g., cloud hosting, analytics, Stripe) to support our operations. These parties are contractually obligated to protect your information.
- Legal Requirements: We may disclose your information if required by law or to protect the rights, safety, and property of Invoice Clarity, our users, or others.
4. Data Storage and Security
- Connection credentials are stored in an encrypted format.
- Invoice and financial data is never stored in our system. It is fetched securely and processed in real-time.
- Stripe identifiers are stored only to reference your billing status — no payment data is stored.
- We employ access controls, secure development practices, and regular audits to help protect your information.
5. Your Rights and Choices
You have the right to:
- Request deletion of your account and associated data
- Withdraw consent to data processing (where applicable)
- Request information about how your data is used
If you delete your account, all personal data and Xero connections will be permanently removed.

We retain your information only as long as necessary to:
- Provide the service
- Comply with legal obligations
- Resolve disputes
- Enforce agreements
We do not retain invoice or transactional data — it is processed in real-time only.
7. Third-Party Services and Links
Our Service may link to or integrate with third-party services (e.g., Xero, Stripe). We are not responsible for the privacy practices of these external platforms. Please review their policies before connecting.
8. Children's Privacy
Invoice Clarity is not intended for use by anyone under the age of 18. We do not knowingly collect information from children.
9. Preferences and Personalisation
To enhance your experience, we may use browser-based technologies to remember your preferences and personalise how content is displayed. These small data elements are stored on your device and may include things like layout choices, interface settings, or display preferences. This allows us to tailor the platform to your needs without requiring repeated selections.
10. Changes to This Policy
We may update this policy from time to time. If we make significant changes, we will notify users via email or an in-app notification. The "Effective Date" at the top reflects the most recent revision.
